Secretary
Authority: The Secretary is accountable to the Board of Directors and the ED. The secretary ensures that the records of the organization are maintained as required by law and made available when required by authorized persons. These records may include founding documents, (e.g. letters patent, articles of incorporation), lists of directors, board and committee meeting minutes’ financial reports, and other official records.

Responsibilities and General Duties:
The secretary is responsible for ensuring that accurate minutes of meetings are taken and approved. Requirements of minutes may vary with the jurisdiction but should include at a minimum:

date, time, location of meeting;
-
list of those present and absent;
-
list of items discussed;
-
list of reports presented;
-
text of motions presented and description of their disposition.
-
accurate recollection of decisions;
-
determination of eligibility to vote;
-
continuity of policies and practices; and
-
accountability of directors and officers
-
signs a copy of the final, approved minutes and ensures that this copy is maintained in the corporate records;

ensures that an up-to-date copy of the bylaws is available at all meetings

Fundraiser
Authority: Reports all findings to the board of directors regarding new and potential funders. The fundraiser is responsible for raising money and other kinds of donations for the organization. The fundraiser will plan and oversee campaigns and events. They will work to ensure that campaigns are effective by researching potential donors ahead of time and examining records of those who have given in the past.
Responsibilities and General Duties:

Research prospective donors

Create a strong fundraising message that appeals to potential donors

Conduct fundraising strategies for an organization

Identify and contact potential donors

Organize a campaign or event that will lead to soliciting donations

Maintain records of donor information for future use

Evaluate the success of previous fundraising events

Train volunteers in fundraising procedures and practices
-
Ensure that all legal reporting requirements are satisfied

Grant Writer
Authority: Reports all findings to the board of directors regarding current, and potential funders. The grant writer is responsible for raising money and other kinds of donations for the organization through the submission of grant applications. The grant writer collaborates with Executive Director in the execution of grant applications, and ensures the mandate of SuiteLife is regarded in all proposals.
Responsibilities and General Duties:

Prepare and submit grant applications, letters of intent and solicitation letters for government, foundations and corporate grants.

Manage the fulfillment of grant reporting obligations. Support and develop fulfillment systems.

Maintain and build relationships with grantors and sponsors.
-
Manage and grow a comprehensive database of grant and sponsorship opportunities.

Research grant and sponsorship opportunities that meet the unique needs of the organization.

Marketing/Public Relations Officer
Authority: Undertake market research and establish the best way to reach target group. Analyze the impact of marketing campaigns and prepare measurement reports. Write press releases and communicate with the media. Communicates with stakeholders and represents the company to promote its vision and mission. Is responsible to the board of directors and Executive Director.
Responsibilities and General Duties:

Research and analyses market trends, competitor offerings, demographics, and other information that affects marketing strategies

Preparing, planning and project managing the publication of all publicity material to maximize brand promotion.

Creating marketing campaigns and working with the board of directors
-
Creating and developing new innovative ways to communicate the company message to their existing customers.

Planning and project managing marketing events and evaluating their success.
-
Evaluating the effectiveness of all marketing activity.
-
Developing and implementing an internal marketing program.

Plan, develop and deliver campaigns as agreed within timescales.

Community Engagement Officer
Authority: Reports directly to the board of directors concerning all new feedback of community engagement and other proposed activities. Establishes relationships with stakeholders for the sake of the organization, perpetuates the company brand and brings new business to SuiteLife Arts for Youth.
Responsibilities and General Duties:

Communicate with stakeholders to keep them informed of the work of the organization and to identify changes in the community served by the organization

Establish good working relationships and collaborative arrangements with community groups, funders, politicians, and other organizations to help achieve the goals of the organization

Researches demographics for the company and identifies gaps in services

Program evaluation as assigned

Outreach initiatives

Oversee an effective outreach effort, with an emphasis on reaching out to local under-served populations

Prepare periodic reports regarding progress toward and barriers to the achievement of such policies and plans
-
Listen and communicate effectively in welcoming a diversity of opinions, needs, and cultures

Work with Executive Director to constantly improve and enhance the services offered by SuiteLife Arts for Youth
